Conference Assistant

Conference Services Check In Staff

Conference Services is seeking qualified students to assist professional staff and managers with all aspects of conference coordination and production. Successful candidates will possess knowledge of the Georgia Tech Campus and the Atlanta area. Prior experience in the Georgia Tech Housing Department and knowledge of Georgia Tech Auxiliary Services' facilities and services is a plus. A background in hospitality, customer service, and/or public relations is also helpful, but not essential.

This position has variable shifts, meaning these staff members can expect a fluctuating schedule from week-to-week. Schedules are posted on a weekly basis, allowing one week to submit requests for shift adjustments as necessary. Part-time applicants are welcome, however, this position best suits full-time staff members who are not taking classes, giving them a flexible schedule throughout summer.

  • Part-time Conference Assistants will be required to be available for an estimated minimum of 10 hours per week, maximum 20 hours per week.
  • Full-time Conference Assistants will be required to be available for an estimated minimum of 30 hours per week, maximum 40 hours per week.

Primary Responsibilities:
Take into consideration the following expectations for Conference Assistants when applying for a position.

  • Assist all conference staff in the operation and development of the summer conference programs.
  • Act in a customer service capacity with conference clientele and guests.
  • Serve as the first point of contact for conference guests, campus students, staff, and all other visitors.
  • Assist in answering, in person and on the phone, any and all questions about the services we offer, conference schedules, general campus information, and often about the Atlanta area, as well.
  • Strong written and verbal communications skills a must.
  • Assist with group check-in/check-out processes and procedures.
  • Monitor and troubleshoot conference and camp activities.
  • Handle emergencies and other situations that arise when the professional staff is unavailable.
  • Provide administrative support and basic clerical services.
  • Follow dress code and conduct oneself in a professional manner at all times.
  • Some light lifting will be required.
  • Driving a Departmental vehicle required. Applicant MUST possess a valid US driver's license. Mandatory training will be provided.
  • Maintain a flexible schedule, free of other major time commitments, within a 24 hour/7 days a week work environment.
  • Overnight duty shifts will be scheduled on a rotational basis among all Full-Time staff throughout the summer.

Compensation:
Full Time: Pay rates starting at $9.00-10.00/hr*, with on-campus housing provided
Part Time: Pay rates starting at $9.00-10.00/hr*

Set Up Services Team

Set Up Services Team

The Set-up Services Team will be responsible for event set-up and breakdown, inspection/preparation of lodging facilities, and equipment inventory and maintenance. This includes arranging furniture such as beds, chairs, tables, tents, and other heavy equipment. Other responsibilities include set-up and breakdown of audio-visual equipment, troubleshooting issues with that equipment, and customer service as it relates to clients and their requested equipment.

This position will also assist with guest linen needs. Set-up Services staff may be asked to perform specific tasks not listed, but related to the duties mentioned above. These staff members may occasionally assist with conference registration or check-out.

  • Part-time Set-up Services staff will be required to be available for an estimated minimum of 15 hours per week, maximum 20 hours per week. 
  • Full-time Set-up Services staff will be required to be available for an estimated minimum of 30 hours per week, maximum 40 hours per week. Full-time candidates may not register for summer classes or have other employment.

Successful Candidate Will:

  • Be able to lift 50 pounds
  • Be willing to perform equipment set-up/breakdown duties indoors and out
  • Be able to successfully complete inventory checks, as well as, maintain written or electronic logs
  • Have basic knowledge of audio and visual equipment; or be willing to learn basic set-up, breakdown and troubleshooting techniques
  • Work well with other Set-up and A/V Team members
  • Facilitate strong communication with the Set-up Services Manager
  • Always be ready and willing to provide excellent customer service and support related to event equipment
  • Always dress according to the specified code to be presented during staff training
  • Answer any and all client questions via phone or in person
  • Assist with guest registration and check-out processes

Conference Managers

Conference Services Managers

The Office of Conference Services hires 3 to 5 Conference Managers to assist with specific areas, each of which are vital to the success of any program. The managers are all expected to act as leaders on the Conference Services staff, while facilitating processes and implementing strong organizational skills to provide conference guests with the highest level of service and accommodation. All managers will be ultimately accountable for their own actions and their own areas of management. Managers may be asked to perform specific tasks not listed, but related to duties mentioned in the job descriptions and requirements.

  • Part-time Manager staff will be required to work an estimated minimum of 15 hours per week, maximum 20 hours per week. 
  • Full-time Manager staff will be required to work an estimated minimum of 30 hours per week, maximum 40 hours per week. Full-time candidates may not register for summer classes or have other employment.
